Constitution of the University of Kansas Kendo/Kumdo Sport Club

ARTICLE I – Name –

“University of Kansas Kendo/Kumdo Club,”  “KU Kendo/Kumdo Club,” or abbreviated as “KKC.”

ARTICLE II – Statement of Purpose –

The purposes of the KKC are:
1)      To cultivate a vigorous spirit,
2)      To combine spiritual maturity with strength and speed through correct and rigid training,
3)      To associate with others with sincerity, and
4)      To strive for improvement in the art of Kendo/Kumdo.

ARTICLE III – Membership –

A.                 Membership shall be granted to anyone who meets thefollowing requirements:

1)      He/She must be affiliated in the University of Kansas,
2)      He/She attends practice regularly enough to show progress, and
3)      He/She pays the club dues each semester in amount and appropriate timeliness to be determined by the officers of the KKC.

B.                 Full member is entitled to attend all practices and social functions of the KKC, and are eligible to take part              in the leadership and administrative duties of the KKC, as elected by their peers.

ARTICLE IV – Meetings –

A.                 A brief meeting for announcements shall be held directly before the end of practice.

B.                 Officers shall determine when and where administrative meetings shall be held as needed.

C.                 Members may request administrative meetings through the officers of the KKC.

ARTICLE V – Officers –

A.                 The KKC will have at least three officers: a president, vice president, and a treasurer.

B.                 Additional officers (e.g., webmaster) shall be appointed by consensus of the president, vice president, and treasurer as needed.

C.                 Officer duties:

All officers will share in duties such as Sport Clubs Council Meetings and works required to maintain the KKC including recruitment and membership. The leadership of certain areas of administration, however, shall be delegated to specific officers.

1)      The PRESIDENT shall be responsible for the general leadership and direction of theKKC. He or she shall guide and encourage the tasks of the vice president and treasurer, but allow the other officers as much as possible to operate independently and of their own initiative to learn how to operate the KKC successfully when it is time for them to take over.

The president shall be responsible for:

a.       Communicating to the KKC members via email or other medium,
b.      Fostering a positive relationship with the other Kendo/Kumdo club and its instructors and members,
c.       Inspiring leadership and active participation,
d.      All requirements of the KKC to maintain recognition, and
e.       Being the primary contact for KU Recreation Services and Sport Clubs staff members.

2)      The VICE PRESIDENT shall be primarily responsible for recruitment, without which the KKC would cease to exist.

The vice president shall be responsible for:

a.      
Recruiting and devising/implementing methods to spread awareness and interest in Kendo/Kumdo within the KU community,
b.      Building community within the KKC (i.e.,member retention), and
c.       Working closely with the other officers to be familiar with all of the necessary administrative components of the KKC.

3)      The TREASURER shall be primarily responsible for all financial components of the KKC, to enable its members to attend or host seminars, conferences, and competitions and their requisite travels.

The treasurer shall be responsible for:

a.       Creating financial goal and budget for each semester,
b.      Collection, deposit, and disbursement of funds,
c.       Proposing and establishing fundraising activities,
d.      Production, distribution, and sale of apparel for the KKC, and
e.       Working closely with the other officers to be familiar with all of the necessary administrative components of the KKC

ARTICLE VI – Elections –

A.                 Four weeks prior to the final practice of fall semester, any KKC member may be nominated to be an officer, so long as he/she shows dedication to the KKC and will stay the following whole year.

B.                 Elections will take place one week before the final practice of fall semester.

C.                 If one of main posts (president, vice president, and treasurer) needs to be filled, a special election should occur with at least a week notice.

D.                 For an officer to win election, he/she requires majority vote under more than 50% of members attended.

E.                  Only club members are entitled to vote.

ARTICLE VII – Funds –

The allocation, disbursement, collection, and deposit of KKC funds are the responsibility of the treasurer, but subject to the approval of the president and vice president.

ARTICLE VIII – Advisor –

The advisor shall be any eligible member of the KU community who expresses interest in the KKC, with a preference given to a practitioner.He/She must be a full-time faculty or staff member of the University of Kansas.

The faculty advisor shall be responsible for no administrative duties, but may provide guidance or assistance when it is expressly sought by the officers of the KKC.
ARTICLE IX – Instructors –

Instructors of the KKC must be physically fit enough to plan, lead, and engage in strenuousphysical activity, and have a desire to structure practices as outlined in Article II.

Instructors must have a working proficiency in Kendo/Kumdo and must be approved by the Sport Clubs director.
ARTICLE X – Amendments –
  
An amendment to this constitution may be proposed by any member of the KKC, but must beapproved by more than 50% of members.
 
ARTICLE XI – Behavior –

A.                 The KKC should respect and follow standards of conduct of the Office of Recreation Services, University, and State of Kansas policies and procedures.

B.                 Each member also respects and follows standards of conduct of the Office of Recreation Services, University, and State of Kansas policies and procedures.

C.                 Each member respects and follows instructors’ teaching sincerely. Members also respect each other and cooperate to improve their skill. Failure to comply with any of the procedures and policies stated above may result in disciplinary action.

1)      Minor Infraction: Any of the advisor, instructors, and the president of the KCC can give a warning and ask a verbal or written reprimand to any member who commits a violation.
2)      Major Infraction: Major Infractions include actions that are unacceptable standards of conduct or are in violation of the KKC, Office of Recreation Services, University, and State of Kansas policies and procedures.

Examples of major infractions include but are not limited to the following situations:

a)      Displaying conduct that is incompatible with the University’s function as an educational institution, the purpose of the KKC, and the Sport Clubs Program,
b)      Misuse of Restricted Fee Funds or Club Funds,
c)      Misuse of Recreation Services and University facilities.

When a major infraction occurs, suspension of membership may occur.

D. These actions for minor and major infractions may be carried out either coincidentally or independently and one action is not dependent on another. It is the responsibility of the president to carry out these actions when necessary. If members feel it is necessary to appeal the decision of the president, a written appeal must be made. Any appeal should be made to president within 48 hours of the president’s decision. The president should discuss this appeal with other officers, instructors, and advisor within 72 hours of the arrival of the appeal. The decision through the discussion is final.
